Job offers can be done over the phone as well as in writing. It is recommended that job offers be made in writing. A verbal job offer can be as legally binding as any other type of offer and should be formalized in writing.
Making a job offer
When talking to your prospective employee, be sure to cover the following details with them:
- That they are legally entitled to work in Canada and that we may need supporting documentation
- The position/position level and the employee group
- Their salary
- The day they will start, and the job's end date, if applicable
- The probation/orientation period. Check with your UBC Human Resources associate prior to adjusting standard probation periods to determine eligibility
- Benefits.
If you intend to offer a salary that's at the listed salary range, please call your UBC Human Resources advisor or associate before making the job offer.
Formalizing the offer
Hiring a foreign worker
Foreign workers (those who are not Canadian citizens or permanent residents) require a valid work permit in order to work in Canada. A Canadian work permit is issued by Immigration, Refugees and Citizenship Canada (IRCC).
Typically a valid work permit must include:
- “UBC” or “Open” as the employer
- An appropriate occupation
- Valid start and end dates for the permit that are longer than the appointment
If you are considering hiring a foreign worker, please contact your Human Resources advisor before an offer of employment is made.
